7 Reasons to Book a Wedding Coordinator

Here are a few things a great wedding coordinator should know and do for you!
Who is going to be with YOU and guiding you on your wedding day? Your Venue Coordinator will not be at the hotel where you are getting ready and making sure photographer has all the details laid out for them, or helping the photographer find your family for photos. They are at the venue managing the venue staff and setting up their furnishings. Our suggestion is that your coordinator starts with you 1-2 hours before photographer begins to manage the flow of schedule from the start of the day.
In Person Meetings -we want to get to know you and talk with you about your '“must-haves” or your “do not want” (Ex. First Look or See Each other going down the aisle). We ask you questions such as: What is your transportation over to the venue? Let’s discuss a weather plan if there are outdoor elements to your wedding day. Have you picked out the songs needed for the ceremony based on the groups going down the aisle?
3. Timeline- Every bride ALWAYS feels better once they see the timeline of their wedding on paper from beginning to end! A coordinator should be the liaison between you and every vendor you have hired to create the day you want with all the elements included. We start working on your timeline months before your wedding not weeks before. We reach out to each vendor individually and go over their contract with how many hours they are hired for, and get the details of what they are providing to the wedding as well as who on their team will be onsite on wedding day and their contact information. The coordinator should be managing the load-in and out of each vendor, the meals and other requests the vendor has while they are working, the timing of transportation schedule, organizing the photo list so that everything is done as efficiently as possible on wedding day and so much more.
4. A Final Walkthrough meeting is a must! You want your wedding coordinator and the venue coordinator to meet and agree to the layout of the space and the expectations of their individual roles and how the day should go. We always bring a rough master timeline to these meetings to discuss with your venue coordinator, any other vendors that attend and yourselves so we can all be on the same page.
5. Detailed Execution is our main objective on wedding weekend. If you work with us for a month, 3 months, 6 months or a year-by the time we get to wedding weekend we want you to feel great about leaving the execution and details in our hands. Our objective at the end of this event is that you had fun with your new spouse, your family and friends and take in as much of the day and love that is around you.
Through months of working with our team, the emails, in person meeting and monthly check-ins, we are ready to execute your day and manage your vendor team. We know every wedding day detail and know your vision. We know when to expect your vendors to arrive, we have their contact numbers and their company numbers if we need them and we are ready to pivot due to weather or a family member was hurt and cannot walk down the aisle last minute, just to name a few: we are prepared! There are always 2 coordinators at your wedding. This allows us to be in different places at once managing and creating the vision you planned. We will execute it all, so you never have to worry about a thing!
6. Advocate and Support You as a Bride! We have been in the business for 7 years and we have seen and done a LOT! There are always new trends and new elements to include into your wedding day. We know the ones that have been successful and those that have not. We can guide you in which florist or band or any other vendor you are looking for based on your budget and vision. You might need our advice or support when speaking with a parent or even your soon to be spouse. We are happy to do it! We ultimately want the wedding day to be as much as possible what you want it to be, not what your mom wants it to be.
